Scope of this policy
This policy applies to information we collect through the Site, through enquiries you send via our contact form, email, or phone, and through any other interaction you have with Medkyn Lifecare in connection with the Site.
It does not apply to data handled by independent third parties whose services we link to (Google Maps, social platforms, analytics providers). Their data practices are governed by their own privacy policies, and we encourage you to read them.
Information we collect
We collect only what we need, in two broad categories:
Information you give us
Your name, company, email, phone number, country, region, and the contents of any enquiry message you submit. Voluntary — only what you choose to share.
Information collected automatically
Aggregated and anonymised technical data — browser type, device class, referring page, broad geography, pages visited, and time on page. Used to keep the Site running and improving.
Communication records
Email threads, call logs, WhatsApp messages, and any product, certification, or pricing documentation we exchange with you in the course of an enquiry.
Cookies & identifiers
Small text files stored by your browser. We use only essential and basic analytics cookies — never cross-site tracking or advertising profiles. Detail in section 04.
We do not knowingly collect special-category personal data (health records, biometric data, government IDs) through the Site. Please don't include such information in unsolicited enquiries.
How we use information
We use the information described above for the following narrow set of purposes:
- Responding to your enquiry — sharing pricing, MOQs, certificates, batch documentation, or product specifics relevant to what you asked.
- Evaluating distribution & B2B fit — understanding territory, portfolio, and reach before sharing confidential commercial terms.
- Operational follow-up — sample dispatch, logistics coordination, or onboarding paperwork if a relationship moves forward.
- Maintaining and improving the Site — debugging, security monitoring, and broad usage analytics.
- Legal & regulatory compliance — meeting our obligations under Indian law, including the Drugs & Cosmetics Act, FSSAI requirements, and the DPDP Act.
We do not sell your personal information, rent it, or share it with advertising networks. Your enquiry is not a marketing lead funnel.
Cookies & tracking
Cookies are small text files saved by your browser. We use them sparingly and for narrow purposes:
- Essential cookies — required for the Site to function (load balancing, basic security, mobile-menu state).
- Analytics cookies — aggregated, anonymised statistics about how the Site is used. Helps us improve content and fix problems.
We do not use third-party advertising cookies, retargeting pixels, or cross-site behavioural trackers. You can disable cookies entirely in your browser settings — most of the Site will continue to work, though some convenience features may not.
Sharing & disclosure
We share personal information only in these limited circumstances:
- With trusted service providers — for example, our email/CRM platform, hosting infrastructure, or logistics partners — bound by contract to use the data only for the agreed purpose.
- Within the Medkyn Lifecare group — if internal teams need access to fulfil your enquiry (e.g. quality, regulatory, exports).
- When legally required — to comply with a valid order from a court or government authority, or to protect our legal rights.
- In a corporate event — if Medkyn Lifecare is involved in a merger, acquisition, or restructuring, your information may transfer to the successor entity, subject to the protections of this policy.
Third-party services
The Site uses a small number of third-party services for specific functions. Each runs under its own privacy policy, which we encourage you to read:
- Google Fonts — serves the Cormorant Garamond and Outfit typefaces used on this Site.
- Google Maps — embedded on the Contact page to show our office location.
- Google Analytics (or equivalent) — aggregated usage statistics. IP addresses are anonymised where the platform supports it.
- Email & communication providers — used to deliver and archive enquiry correspondence.
Data retention
We keep personal information only as long as we need it for the purpose it was collected, or as long as required by law:
- Enquiry data — up to 24 months from the last meaningful interaction, unless a commercial relationship is ongoing.
- Distributor & B2B records — for the duration of the relationship plus the period required under applicable accounting, tax, and regulatory law.
- Analytics data — aggregated and retained for up to 26 months, then purged or anonymised further.
On expiry, data is either securely deleted or anonymised so it can no longer be linked back to an individual.
Your rights
Under the Digital Personal Data Protection Act, 2023 and applicable privacy law, you have meaningful rights over the personal data we hold about you. You can exercise any of these by writing to info@medkynlifecare.com.
- AccessAsk for a copy of the personal data we hold about you.
- CorrectionAsk us to fix anything that's inaccurate or incomplete.
- ErasureRequest deletion of your data, subject to legal-retention obligations.
- Withdrawal of consentWithdraw consent at any time — for any processing that depends on it.
- PortabilityReceive your data in a structured, machine-readable format where applicable.
- Grievance redressalEscalate any concern to our designated grievance officer (see section 13).
We respond to verified rights requests within 30 days. We may need to verify your identity before acting, to make sure we don't share your data with someone pretending to be you.
Data security
We use commercially reasonable technical and organisational measures to protect personal data — including encrypted transport (HTTPS), access controls, role-based permissions, and periodic review of our internal systems.
In the unlikely event of a data breach affecting your personal information, we will notify you and the relevant authorities in accordance with applicable law and within statutory timelines.
Children's privacy
The Site is intended for adult audiences — distributors, retailers, healthcare professionals, institutional buyers, and informed consumers. We do not knowingly collect personal information from children under 18 years of age. If you believe a child has submitted information through the Site, please contact us and we will delete it promptly.
International transfers
Medkyn Lifecare is based in India and primarily processes data within India. Some of our service providers (cloud hosting, email infrastructure, analytics) operate from other jurisdictions. Where personal data is transferred outside India, we rely on:
- Service providers offering equivalent protection under their applicable laws;
- Standard contractual safeguards consistent with the DPDP Act and accepted international privacy frameworks;
- Restrictions on what data can be transferred and for what purpose.
Changes to this policy
We may update this Privacy Policy as our operations evolve, as new services are added, or as the regulatory landscape shifts. The “Last updated” date at the top reflects the most recent revision. For material changes, we will highlight the update on the Site for a reasonable period and, where appropriate, notify recent enquirers by email.
For privacy questions or requests.
If you'd like to exercise a right, raise a concern, or simply ask how a piece of data is being handled — contact our designated grievance officer. We respond within 30 days.
Mark correspondence “Privacy & Data Protection” on the subject line or envelope, and we'll route it to the right person.
